Set folder permissions
Choose who can read or edit a folder, and preview how access will change before saving.
Who this is forOwners and admins who manage access to team files.
Before you start
- For people who need the same access, create a group in Admin → Groups → New group.
- Use your actual folder paths. For example, groups/Finance is a folder for your Finance group.
Step by step
Choose a folder
Open Admin → Folder permissions. Select Edit for a listed folder, or Add folder to choose another one.
Add a rule
Select Add rule. Under Applies to, choose Everyone, Role, Group or Person. Set Who and Access. The access options are No access, Read and Read & write.
Preview the change
Select Who sees what and review After saving and People losing access. A subfolder without its own rules inherits the rules of its parent.
Save and check
Select Save when the access is right. Ask an affected employee to open Files and check that the folders they need are visible.
If you get stuck
An admin still sees the folder
Owners and admins have management access to team folders, except other people’s personal folders. Check ordinary employee access separately.
An old answer still quotes the folder
The AI can no longer read the folder after access is removed. Changing permissions does not erase content already quoted in an earlier answer.
